1. Who we are

The Music Loop is the data controller for the personal data collected through themusicloop.com. That means we decide how and why your data is processed when you use our magazine, member network, recording studio, and paid placement services.

2. Data we collect and why

  • Account data — name, email address, sign-in credentials, profile photo, bio, links and occupation. Used to create and secure your account and show your public profile. Legal basis: contract performance.
  • Newsletter data — email address, selected genres and delivery frequency. Used to send you the newsletter you asked for. Legal basis: consent, which you can withdraw at any time.
  • Content you post — comments, likes, showcase posts, and uploaded media. Used to provide the community features. Legal basis: contract performance.
  • Order data — placement details, uploaded creative, and order history. Used to fulfill sponsored article and advertising orders. Legal basis: contract performance.
  • Usage and device data — pages visited, approximate device and browser information, and IP address. Used for security, fraud prevention, and product improvement. Legal basis: legitimate interests.
  • Support messages — anything you send us when asking for help. Used to respond to you. Legal basis: legitimate interests.

Payment card details are collected and processed on the payment provider's secure checkout page — we never see or store your full card number.

3. Who we share data with

  • Service providers that host and operate the site (cloud hosting, database, storage, analytics, and support tooling).
  • Square, our payment processor, for payment processing, order management, and receipts.
  • Professional advisers such as lawyers and accountants, where needed.
  • Authorities, where required by law.

We do not sell your personal data.

4. How long we keep data

We keep personal data only as long as needed for the purposes above: account data while your account is active, order records as long as tax and accounting law requires, and newsletter data until you unsubscribe. When data is no longer needed it is deleted or anonymised.

5. Your rights

Depending on where you live, you may have the right to access, correct, delete, restrict, or port your personal data, to object to processing, and to withdraw consent at any time. To exercise any of these rights, contact us through the site. If you are in the UK or EEA, you also have the right to complain to your supervisory authority; we respond to requests within one month.

6. International transfers

Our service providers may process data outside your country, including outside the UK/EEA. Where that happens, we rely on appropriate safeguards such as standard contractual clauses or adequacy decisions.

7. Security

We use appropriate technical and organisational measures to protect your data, including encryption in transit, access controls, and row-level access rules in our database so members can only reach what they are allowed to see.

8. Cookies

We use essential cookies and local storage to keep you signed in and remember your preferences. We do not use marketing cookies. You can clear cookies and site data in your browser settings at any time; signing in again will be required afterwards.

9. Changes

We may update this notice from time to time. The date at the top shows the latest version; material changes will be highlighted on the site.
